Restaurants · Call answering guide

How can you handle restaurant calls during a busy service?

The host is seating a table and another caller wants opening hours, a reservation or a change to tonight's booking. Phone cover should make the next step clear for the guest and the team.

Try the restaurants demo with a question from your business.

Keep routine answers accurate

Opening hours, location, booking policy and menu information can change. Decide who updates the agent and how holiday hours or a special event are handled. For food allergies or anything the agent cannot verify, route the request to staff. It should not improvise an assurance about ingredients, preparation or whether a meal is safe for a guest.

A reservation request needs a clear status

A party size and preferred time are useful details, but they do not establish that a table is available. Confirm your reservation platform and rules, including larger groups, same-day changes and deposits. If the system cannot confirm a booking, the guest should hear that it is a request awaiting a response. Check how the host receives and follows up those requests during service.

A call, from ring to next action

Agree the route before you switch on

A guest calls while your host is seating another table. This example flow depends on the rules and integrations agreed during setup.

  1. 1. Listen and collect

Identify a general question, reservation request or staff enquiry

  2. 2. Follow the agreed rules

    Within the routine scope

Use approved information and the agreed reservation route

    Needs a person

Pass exceptions and unverified details to restaurant staff

  3. 3. Make the next action clear

Make the guest's request and confirmation status clear

If the contact is unavailable, use the agreed fallback. Do not promise that a transfer or request has been accepted.

Fictional example, not a customer recording

What could the conversation sound like?

A fictional guest requesting a table

Bring these situations to your demo

  • A large group outside normal booking rules
  • A guest changing an existing reservation
  • A question about a food allergy
  • A caller who wants a member of staff
  1. Caller

Could we get a table for six this Saturday?

  2. Example agent

I can take a reservation request. What time would you prefer?

  3. Caller

About seven. Is that booked in now?

  4. Example agent

It is a request at this stage. The restaurant still needs to confirm availability. May I take your name and contact number?

Next action: A table request with party size and preferred time. The guest is told clearly that the restaurant has not yet confirmed it.

Your numbers, your decision

What would cover the cost?

An illustration, not a forecast. The starting inputs are examples, not industry averages. Use contribution from an additional table booking after food, labour and other direct costs. Allow for no-shows; the sample values are not typical restaurant figures. All amounts exclude GST.

Monthly fee$990
Illustrated contribution or time value$1,000

$10 above the fee in this illustration.

At this value, 10 additional completed table bookings would cover the monthly fee. This comparison excludes other overheads and does not predict demand. Time value is not necessarily a cash saving.

Restaurants call answering FAQs

Can it answer questions about hours, location and booking policy?

Those are suitable subjects for approved information. Keep the details current and agree who updates holiday hours, special events and changes to your policy.

Can it confirm reservations in our booking system?

Check your exact platform and reservation rules with G2 before relying on confirmation. If a connection is not available or a request falls outside the rules, capture a request for your team instead.

Will guests still be able to speak to our staff?

Agree a handover route and what happens if the team is busy. Test a caller asking for a person. Avoid leaving guests with an unclear promise that someone will answer immediately.

Can the agent answer allergy questions?

It should not guess about ingredients, cross-contact or food safety. Use restaurant-approved information and route anything that cannot be verified to the appropriate staff member.

Does restaurant phone answering include takeaway orders and payments?

Do not assume those services are included. Orders, payment collection and reservation requests are different workflows. Ask G2 to confirm the supported scope and demonstrate it before launch.

What does G2 cost and what should I check before starting?

G2 costs $990 per month plus $1,500 setup, excluding GST. Before starting, confirm your phone diversion, supported software, booking permissions, handover contacts and fallback when nobody answers. Ask to test those scenarios in a walkthrough.
