Who handles clinic calls while you are treating a patient?

When you are the practitioner and the person answering the phone, even a simple booking call competes with the appointment in front of you. Start with a practical plan for the hours reception is unstaffed.

Try the physio and allied health demo with a question from your business.

Choose cover around your real clinic hours

You may need help for lunch, a late clinic or the days you work alone. Write down when the phone should ring at reception and when it should divert. Call handling covers one part of reception; taking payments and helping walk-ins still need a plan. Make it clear to staff where new requests appear and who checks anything the agent could not finish.

Match bookings to the practitioner and appointment

A first consultation and a follow-up can need different time. Returning patients may want a particular practitioner, and some requests need a conversation before a slot is chosen. G2 lists Cliniko and Halaxy as live integrations. Confirm the actual booking workflow in your system, including cancellations and appointment changes. Other platforms should be checked individually before direct booking is promised.

A call, from ring to next action

Agree the route before you switch on

You are in a treatment session and reception is unstaffed. This example flow depends on the rules and integrations agreed during setup.

  1. 1. Listen and collect

Ask whether this is a first visit, follow-up or other enquiry

  2. 2. Follow the agreed rules

    Within the routine scope

Use agreed appointment and practitioner rules

    Needs a person

Capture a callback for clinical or unclear requests

  3. 3. Make the next action clear

Record the request and any action the clinic still needs to take

If the contact is unavailable, use the agreed fallback. Do not promise that a transfer or request has been accepted.

Fictional example, not a customer recording

What could the conversation sound like?

A fictional caller asking for a follow-up

Bring these situations to your demo

  • A returning patient requesting a specific practitioner
  • A first visit needing a longer appointment
  • A cancellation or change to an existing appointment
  • A caller asking for advice about symptoms
  1. Caller

Can I book another appointment with the physio I saw last time?

  2. Example agent

I can take your request. Which practitioner did you see?

  3. Caller

Alex. I would prefer next Wednesday.

  4. Example agent

I will include Alex and Wednesday in the request. May I take your name and callback number?

Next action: The practitioner and preferred day are captured. A booking is confirmed only when the configured system and rules allow it.

Your numbers, your decision

What would cover the cost?

An illustration, not a forecast. The starting inputs are examples, not industry averages. Use contribution after practitioner and other direct appointment costs. Allow for cancellations and non-attendance when estimating additional appointments. All amounts exclude GST.

Monthly fee$990
Illustrated contribution or time value$1,000

$10 above the fee in this illustration.

At this value, 10 additional attended appointments would cover the monthly fee. This comparison excludes other overheads and does not predict demand. Time value is not necessarily a cash saving.

Physio and allied health call answering FAQs

Can we cover just the hours without a receptionist?

Discuss those specific hours during setup and check your phone diversion options. You can scope the workflow around the gaps you have instead of treating every clinic call the same way.

Does G2 work with Cliniko or Halaxy?

Both are listed as live G2 integrations. Ask to see the appointment types and practitioner rules your clinic uses. Confirm any cancellation or rescheduling workflow separately in the walkthrough.

Can it choose the right practitioner for a patient?

Use clinic-approved booking rules or the patient's existing practitioner preference. If the request requires clinical judgement or is unclear, pass it to the clinic team rather than guessing.

Will an AI receptionist handle payments and walk-ins too?

Phone answering does not provide someone at the desk. Keep a separate arrangement for payments, in-person enquiries and other reception duties. Confirm any additional service rather than assuming it is included.

How do we know whether the monthly fee makes sense?

Review calls during unstaffed hours, how many become attended appointments and their contribution after direct costs. Compare that with the fee and the time spent returning calls. The adjustable chart is an illustration, not a forecast.

What does G2 cost and what should I check before starting?

G2 costs $990 per month plus $1,500 setup, excluding GST. Before starting, confirm your phone diversion, supported software, booking permissions, handover contacts and fallback when nobody answers. Ask to test those scenarios in a walkthrough.
